Install RoboForm and choose its device

RoboForm runs on Windows 10 and Windows 11, as well as macOS, Android and iOS, and is also available through browser extensions. On Windows, run the universal installer to install the desktop app and select extensions for the browsers you use. Then create a free account and set a strong master password.

During setup, choose the device where you want to use the free plan: it supports one device only. You can find RoboForm as a password manager and form filler that stores logins, identities and Safenotes for later use.

Use saved details across websites and applications

After setup, RoboForm can fill credentials into websites and Windows applications. For long web forms, save personal and payment details in an identity, then use that identity to populate the relevant fields instead of entering the information repeatedly. In desktop programs, the Windows app can save and fill login credentials, extending its use beyond browser sign-ins.

The Windows app also provides offline access to stored data and keeps you signed in across installed browsers. Windows Hello is supported as an option for unlocking access. These functions are useful when your regular work involves several browsers, desktop applications or forms that request many details.

Keep passwords, passkeys and two-factor codes together

RoboForm stores passwords and passkeys in the same password-management workflow. Its password generator can create credentials, while the password audit identifies weak, reused or compromised passwords so you can review accounts that may need attention. Compromised-password alerts are included in the free plan.

A built-in TOTP authenticator generates two-factor login codes for accounts, including for free-plan users. Advanced two-factor login options, passwordless unlock and cloud backup are also included in that plan. AES-256 encryption is used to protect account data, and the account includes bookmarks and import and export functions alongside password storage.

Understand the free plan and Premium features

The free plan is freeware for one device and allows unlimited passwords. It is suited to a user who keeps RoboForm on one primary computer, but it does not provide free synchronization between a PC and a phone. Premium costs $2.49 per month billed annually ($29.88 per year) and adds access on all devices and web access.

Premium also includes sharing, emergency access, local-only mode and data breach monitoring. These options matter if you need to make saved information available across devices or arrange access for another person. The free plan remains limited to its single-device setup, so select a primary device before relying on it as your main password store.

Practical fit

RoboForm is particularly relevant for people who frequently complete lengthy online forms or need to manage logins for Windows desktop applications. Its combination of identity-based form filling, offline access and application logins addresses those tasks directly. Users who need synchronized access across a computer and phone should account for the Premium requirement when choosing a plan.
